Information notice on the processing of personal data of participants in events organized by Provision Software Division SRL
We are glad you want to participate at the event organized by Provision Software Division SRL (referred to in hereinafter “Provision Event”). Before you sign up, we inform you how we will process personal data as possibly participant (in hereinafter “participant”) at this event. For the processing of personal data from the perspective of other qualities on which e possible to have in relation to ProVision (e.g. customer, visitor of Provision offices, websites and pages social media pages, etc.) you can find details in the Privacy Policy on the website www.provision.ro .
Who is the controller processing your data?
Provision Software Division SRL (“ProVision”) is the controller of the personal data of ProVision event participants.

For what purposes is your data processed as a Provision event participant?
We process your data to:
- register you for the ProVision event;
- send you information confirming your registration and, where applicable, information about regarding ProVision event;
- promote the company’s image (only if you give us your consent)
What categories of personal data do we process and where do we get it from?
For the purposes indicated above, we would process the following categories of your personal data:
- first name, surname – we need this data to identify you with the confirmation of your place and entry to the event;
- contact data – we use your telephone number and e-mail address to confirm your place at the event and to send you information to ensure the ProVision event runs smoothly;
- the image, voice, opinions you express at the ProVision event (only with your consent)
Data we will collect from you when you complete the ProVision event registration form or when you attend the ProVision event.
What are the legal grounds on which we process your data and what happens if you don't want your data to be processed?
The grounds on which ProVision processes your data as an event participant are (where applicable):
- The legitimate interest of the company to be able to organize the logistics of the Provision event and to ensure that it runs in good conditions;
- your consent (e.g. for the realization and distribution of your image/voice/opinions for the purpose of promoting the image of Provision)
Where we need your consent to process your data, we will only process it if you give us your consent (on the form you will receive when/if you attend the ProVision event). If you do not wish to give your consent, you can still attend the ProVision event, but you will be placed in an area of the room where no photos/filming will be taken. If you decide to give your consent, you will have the right to withdraw it at any time, without the withdrawal affecting the lawfulness of the processing previously carried out.
When the processing of your data is based on our legitimate interests mentioned above, you have the right to object to this processing. We will be able to accommodate some of your objection requests (e.g. if you object to us contacting you to send you information), but if you object to other processing (e.g. if you do not wish to provide us with the mandatory data required for event registration) we will not be able to facilitate your access to the event.
Who could have access to your data? (recipients of data)
In order to fulfill its processing purposes, Provision may disclose some or all categories of personal data to the following categories of recipients:
- Provision’s contractual partners (service providers) used for the provision of registration and event fulfillment, such as but not limited to: IT service providers (maintenance, hosting), event services, e-mail forwarding, etc
- the general public (only if you give your consent for the distribution of your image/voice/opinions taken at the Provision event for the purpose of promoting the company’s image);
We will disclose or transfer your data to these categories of recipients only when necessary to fulfill the purposes of the processing, only in accordance with the provisions of the General Data Protection Regulation (“GDPR”), on the basis of the applicable legal grounds as applicable to the situation and only under conditions that ensure data security.
How long we process your data as a Provision event participant?
We will process your data as a participant for up to 60 days after the Provision event takes place.
What are your rights in relation to the processing of your data?
We respect the rights and choices you express, so you will be able to exercise any of the rights set out in Articles 13-22 of EU Regulation 679/2016. According to the applicable legal provisions, you benefit from the right to be informed, the right of access to your data, the right of rectification, the right to erasure of data, the right to restriction of processing, the right to data portability, the right to object and automated individual decision-making, the right to make a complaint to ProVision or to lodge a complaint with the National Supervisory Authority for the Processing of Personal Data. The above rights may be exercised at any time.
